Find your invoices and receipts
Find the right billing document for your accountant: receipts for card orders, monthly invoices and credit notes for credit orders, top-up receipts, and when each one is ready.
Your billing documents are in your account as PDFs. Which ones you get depends on how your organization pays: by card for each order, or from a prepaid credit balance. If you place a guest order (without being logged in), your receipt is available on the email you receive once the order is mailed.
| I need… | Where to find it | When it's available |
|---|---|---|
| A receipt for a card order | Invoices | A few minutes after you place the order |
| A monthly invoice for credit orders | Invoices | On the 1st, for the previous month |
| A credit note for a cancelled credit order | Invoices, under the invoice that included the order | Shortly after you cancel an order that was already invoiced |
| A top-up or auto-reload receipt | Settings → Credits → View activity | A few minutes after the payment |
If you pay by card: one receipt per order
Every order paid by card gets its own receipt, ready on the Invoices page a few minutes after you place it. You don't need to wait for your letter to be mailed.
Once your letter is mailed, the person who placed the order also gets an email with a Download Your Receipt link. It's the same receipt.
If you pay with credits: one invoice a month
On the 1st of each month, we issue one invoice for the previous month's orders paid from your credit balance. It's dated the last day of that month, so October's invoice arrives November 1, dated October 31. Months follow Pacific time.
Lines are grouped by product, price and tax, so orders at Credit+ prices get their own lines. The invoice's notes list the orders it includes. If you placed no orders with credits in a month, there's no invoice for that month.
There's nothing to pay on your monthly invoice
Your monthly invoice is already paid. Each order came out of your credit balance when you placed it, so the invoice isn't a new charge.
Waiting for this month's invoice?
We know a missing invoice can hold up your books. This month's orders will be on one invoice on the 1st of next month. Until then, Credit activity shows each order as it's paid from your balance.
Cancelled orders and credit notes
If you cancel an order before its month is invoiced, it's simply left off the invoice. If you cancel it after, you get a Credit note, listed under that invoice with a negative amount.
Card receipts from before you switched
Orders you paid by card before switching to credits keep their receipts. Find them in the Card receipts section, below your invoices.
Find a receipt for a top-up or auto-reload
Top-up and auto-reload receipts aren't on the Invoices page. They're in your credit activity.
How to download a top-up receipt
- 1
Open Credits
In the sidebar, select Settings, then Credits.
- 2
Open your credit activity
Select View activity.
- 3
Download the receipt
Top-up and Auto-reload rows get a download icon once the payment is processed, usually within a few minutes. Select it to open the PDF.
Why top-ups and orders have separate documents
A top-up receipt records money you added to your balance. You haven't bought anything yet, so it shows no tax.
Your monthly invoice records the letters you sent and the tax on those orders, paid from that balance. Your accountant needs both, and they never count the same money twice.
Who can see these documents
Everyone in your organization, admins and members, can view and download all of these documents. Only admins can add credit or change auto-reload.
The details on your documents
Documents are issued in your organization's name, and card receipts also list your billing address. If you change either one, only documents issued afterwards show the change.
